Heirloom Engravers Event or Engraving Promotion Policy

Heirloom Engravers can come to your store, business, or other venue and set up to engrave on the spot for parties and sales promotions, company events, grand openings and other occasions.

A typical event is 3.5 hours long in which Heirloom Engravers will show up early to set up and be ready by the appointed time. We will be wearing slacks (if requested), a dress shirt and a tie. We are very good with your customers or clients, answering questions in a friendly manner, and we will work diligently to keep things flowing smoothly.

What we need from you:

1. A sturdy table with a tablecloth so we can hide our peripheral accessories.

2. An electrical outlet.

3. A chair. Preferably an office chair with wheels that can be raised and lowered.

4. A trash can.

5. All in a well-lighted place, please!

What to expect from Heirloom Engravers:

If we are engraving on metal items such as inside rings, gift items, perfume bottles, pens or picture frames we can usually engrave an item every 5 minutes, often times quicker.

If we are hot stamping on leather, we can do an item every 6 minutes.

If we are engraving glass wine bottles its usually an item every 7 minutes but for just initials 3-4 minutes.

If we are engraving watches, they vary from 3 to 10 minutes each.

If we are Laser Engraving directly on an item, we can usually do an item every 5 minutes. (most of our work is NOT laser engraving and we only offer it for certain on-site promotions)

All that being said, most events are a one item event, and we are working on the same piece over and over. If we are doing luggage tags, and all with initials, we can produce one per minute and easily do 300 pieces in a 3.5 hour event.

Of course, all this depends upon how much engraving we are doing on a given item, and if a customer wants several items that are the same it will go quicker.

We will usually show up with custom forms for your customers to fill out with their engraving instructions. If appropriate the form will have engraving style choices so your customers and event associates can see what is available and it also helps to move things along more quickly.

We are professional and courteous on your sales floor. We keep count, and give you a report of how many items we did and a general overview of the event by email in the following days so you can better assess the success of the event.

The actual price for an event varies depending upon what kind of work we are providing, how far we are traveling, and how many events you are scheduling. Please call for a quote. For best pricing try to schedule your event in the late afternoon or in the evening.

Payment:

At the time of booking Heirloom will collect a 50% deposit that is not refundable unless we can book another event for that same day and time. When we take that deposit, you own that date and time and we WILL be there. We accept checks or credit cards. If we don’t have the card in hand (by telephone) then there is an extra 3.5% charge, which is we get charged by our processor.

Three days before the event the remaining fee will be charged to your CC, or we need to have received a check by the day of the event, sorry, there are no exceptions here.

If you need to generate a check from corporate, we need ALL requests for documentation (i.e. W-9 form, ACH payment paperwork, confidentiality agreement, etc.) on the day the event is booked. We will fill out all the paperwork and email it back so you have it well in advance of the event and there will be no delay in payment. Otherwise, expect to be able to give us a credit card so the event can actually happen.

If the event is not paid in full on the morning of the event, it WILL NOT HAPPEN. The only exception is if you are bringing a check to the event. If Home Office did not come through or the check has not arrived and you must have the event you must have someone there to pay for it with a check, cash or credit card. Or, we can take a credit card over the phone. Sorry, there are no exceptions.
